What Gets Printed, Gets Repeated
The largest real estate company in the U.S. had training materials consisting of two interwoven documents: a 145-page Facilitator Guide for instructors and a 60-page Client Workbook for participants. The Guide referenced specific pages in the Workbook; screenshots from the Workbook appeared in the Guide; hidden marginal text gave instructors cues for leading the instruction.
After being proofread, the materials would be printed and distributed to real estate agents across four major national brands—meaning any error would be propagated countless times. And because the files were already formatted for print, every correction had to fit within the existing layout, without shifting a single page break.
I began by proofreading the Client Workbook to establish a single “source of truth” for industry jargon, formatting conventions, and more, working with formatting marks visible to monitor page breaks, section breaks, and hidden instructor text. The client and I held brief calls to resolve questions about the audience, legal-protected language, and screenshot updates.
After learning the client had limited bandwidth to review changes, I standardized formatting before turning on Track Changes and adjusted the depth of copy editing, flagging only the most egregious issues. I also developed a standard for brand placeholders to make the find-and-replace process flawless. The proofreading identified material errors including inconsistent line spacing and font sizes, mismatched cross-references between the materials, and screenshots that no longer reflected current Workbook content.
I delivered both proofread documents within one week, with all page counts and section breaks intact. The client immediately engaged me for additional customization work on several follow-on training modules, including PPT corollaries. The relationship extended across numerous projects over years, with standing availability reserved for ongoing proofreading and editing services.
