If you have incisive questions before you work with me, we’re probably going to work well together. Below are candid answers to the questions clients have posed most frequently over my decade in proofreading.

Finding & Choosing a Proofreader

Fair question. Clients generally compare proofreaders on experience, reviews, responsiveness, and results.

I have spent the last decade building systems, expertise, and reputation around catching errors clients can’t see themselves—one of my clients calls me a “Jedi with words.” You can read more about my education and experience here. Proofreading high-stakes documents in which errors are unacceptable is my full-time professional service, and I have a long catalog of proofread documents.

If your document requires deep subject-matter expertise (e.g., scientific terminology, regulatory language, industry-specific conventions), I develop and maintain that expertise so that I can catch both common errors and those that are specific to your domain.

A veteran full-time proofreader on staff is likely to cost $70,000+ a year, plus benefits. For an on-demand proofreader who operates as an extension of your team, I am $74/hr. There are no add-on fees, upsells, or changing rates. If that rate seems expensive, consider this: What does an error cost you?

Charging an hourly rate puts the incentive where it should be: for me to ensure your work is error-free. I have spent a decade taking documents to publish-level quality. And to give you peace of mind that I am managing time well, I provide software tracking of my work.

As for the total cost to you, that depends on the length, complexity, and required turnaround time. For an estimate, send me your document with your deadline. I’ll respond within eight hours with a price and turnaround estimate. Many clients tell me afterward: “I should have done this sooner.”

The Proofreading Process

Because proofreading is the final pass prior to publication, I do not rewrite your content or change your voice. I do proofread your document comprehensively, including:

  • Catching all errors: Grammar, spelling, punctuation, typos (including those spell-check misses)
  • Ensuring consistency throughout: Formatting, style, terminology, voice
  • Making clarity edits: Minor tightening via elimination of repetitive word usage, as well as notes for how to improve the document
  • Enforcing style adherence: Following your style guide (Chicago, AP, APA, or house style)
  • Reviewing design: Ensuring the pixels in the design (if any) are perfect

  1. You send your document with deadline and any style requirements.
  2. You receive a quote and timeline within four hours.
  3. I proofread your document using the process outlined above.
  4. You receive your polished document with clean copy + tracked changes version.

My standard turnaround time for documents of less than 25,000 words is two business days. Rush turnaround options include one business day and same-day turnaround.

The real question behind this question: “Will I get my document back on time?” Yes. Deadlines are non-negotiable in my work. You will receive the document before the deadline estimate I send you. If I cannot get it to you by your deadline, I will let you know.

Rush service is available. Contact me with your deadline, and I’ll tell you immediately whether I will be able to meet it.

For Word documents:

You will receive two versions: a final, polished document ready to send and a Track Changes version that shows every edit I made so you can approve or reject each one.

For PDFs:

You will receive a PDF with each edit highlighted and a note attached so you or your designer can make the appropriate changes.

Regardless of file type, you will also receive a brief note highlighting any document-level issues I found or suggestions for improvement.

My job is to catch errors and improve clarity. But you are the author—you have final say. You may reject any edit I make. If we work on multiple projects together, I will learn your preferences so that you do not have to repeatedly reject the same edit.

Glad you asked. The Get a Quote page will ask for the following information regarding your document:

  • Document type (Word, PPT, or PDF)
  • Length (words or pages)
  • Status (how ready to publish)
  • Urgency (preferred deadline)

If you can’t provide answers to all of these, submit anyway. You’ll receive any follow-up questions from me before I start.

  • For most updates and document delivery, we will communicate via email.
  • If a conversation is necessary, I will set up a Zoom meeting.
  • Regular clients receive my personal cellphone number for quick questions and status updates.

I can’t share client work for confidentiality reasons. But you can see a selection of client reviews.

Working with a Proofreader

Valid concern. I don’t need to be an expert in your field to proofread like an expert. I do need to understand your conventions, terminology, and audience expectations, though, and I will learn those.

If your document is complex (e.g., scientific equipment, regulatory standards, technical specifications), I will not “correct” terminology you’re using on purpose. I’ll preserve your expertise while catching formatting inconsistencies, typos, and clarity issues.

Confidentiality is nonnegotiable in professional proofreading. Every project I work on includes:

  • Secure file transfer
  • Non-disclosure by default
  • No sharing of any content

If you need a mutual NDA, I will sign yours or we can use my regular NDA.

Multiple people writing the same document results in:

  • Different formatting styles
  • Inconsistent terminology
  • Varying voice and tone
  • Conflicting style choices

Your proofread document will come back unified—ensuring consistent formatting and terminology, smooth transitions, and a single professional voice.

Concerns & Objections

I will—I’m human, too. Errors haunt me. But I am trained and have built a reputation for zero-error tolerance. I will catch all the errors you can see, and many you can’t, too.

Most clients appreciate seeing what changed so they can verify the edits make sense for their audience and purpose, and so they can become better writers themselves.

If you prefer, however, I can provide a clean Word document with all edits approved; for PDFs, I can make edits directly in InDesign.

Either way, you’ll get a polished, final document ready to submit.

Many people do. Here are a few real, unedited quotes of their experiences:

Technology can catch many obvious errors. It doesn’t catch:

  • Consistency issues throughout hundred-page documents
  • Awkward phrasing that is technically correct
  • Formatting inconsistencies
  • Context-dependent mistakes
  • Style guide violations

I understand intent and purpose, unlike a computer. Use spell-check first if you like, then use me to catch all the errors spell-check misses. If your stakes are low or your budget is tight, digital tools might be sufficient.

Use Grammarly if …

  • You’re writing casual blog posts or internal emails
  • You’re okay with catching 80% of errors instead of 100%
  • Your document won’t be seen by executives, clients, or the public
  • Budget is your primary constraint
  • You write frequently enough that small errors won’t harm your reputation

Use Proofread.co if …

  • Your document goes to people who matter (executives, clients, procurement committees)
  • One error could cost you the contract, the credibility, or the opportunity
  • You need consistency throughout 30+ pages
  • You’re working with technical terminology, brand voice, or industry-specific conventions
  • The cost of an error exceeds the cost of prevention

If you just need someone to tell you whether your document is ready, send it to me and ask. I’ll give you an honest assessment, even if it’s “you don’t need me.”

With due respect to your coworker, friend, or family member, they do not have the time, training, or availability I do. You need someone who:

  • Knows what they’re doing
  • Responds when you need them
  • Delivers on time
  • Doesn’t require you to explain what proofreading is

You are not hiring help. You’re hiring expertise.

If pricing is the concern, get a quote for your specific project before deciding. Most clients tell me afterward they expected it to cost more.

If availability is the concern, contact me with your deadline. I’ll tell you immediately whether I can deliver in time.

If communication is the concern, I respond to every inquiry within 12 hours, and you’ll have my direct contact for the duration of the project.

Yes. I prefer to work with clients on a long-term basis. That enables me to learn your voice, style, and preferences; provide a faster turnaround; and give you priority scheduling.

Types of Work

Yes. Academic work requires special attention:

  • Citation accuracy (format consistency, proper attribution)
  • Style guide adherence (APA, Chicago, MLA—whatever your institution requires)
  • Clarity without oversimplification (preserving technical language while improving readability)
  • Consistency throughout long documents (terminology, formatting, voice)

When I’m Not the Right Fit

Maybe not. If it’s a quick one-off and you’re comfortable with AI tools, use those first. See if they catch everything you need.

But if it’s a high-stakes two-page letter—the one going to the board, the client pitch, the legal response, the executive summary of your career—then yes, absolutely worth it. Stakes matter more than length.

Then you need a copywriter or editor, not a proofreader. At a high level, here’s the difference:

  • Proofreading: Catching errors, ensuring consistency, improving clarity
  • Editing: Restructuring content, improving flow, rewriting sections for impact
  • Copywriting: Creating new content, writing for persuasion and conversion

No. I specialize in one thing: proofreading high-stakes documents to zero-error standards. I’m happy to work alongside your copywriter or agency; I just won’t pretend to be something I’m not.

For the right project, possibly. Weekend and after-hours work is available for true emergencies and rush projects. It incurs a 35% rush fee.

I mostly work with businesses and professionals. I am a great fit for individuals who:

  • Are writing a book for publication
  • Need dissertation or thesis proofreading
  • Have a high-stakes professional document (e.g., job application, important letter)
  • Are willing to invest in professional proofreading

I’m not a good fit for individuals who:

  • Want help with personal letters or casual writing
  • Need ongoing proofreading for social media or blog posts
  • Expect “friend prices” for professional work
  • Have very small budgets

I can catch errors in your work. But I can’t teach you to see your own errors. When you stare at your own writing, your brain reads what you meant to write, not what you actually wrote. The whole reason you need me is that you can’t proofread your own work.

What I can do:

  • Provide tracked changes so you can see patterns in your errors
  • Share style guides and resources for reference
  • Answer specific grammar or style questions as they arise

What I can’t do:

  • Enable you to reliably catch your own errors
  • Replace the value of a second set of expert eyes
